Mastering Online Events: A Practical Guide to Hosting a Seamless Virtual Summit

Hey there! I am Okonu Deborah, and I have had the privilege of hosting two successful online business summits for the Bosses in Business (BIB) community. These summits brought together industry experts, meaningful conversations, and an audience eager to learn. Along the way, I discovered tools, strategies, and many lessons.

If you plan to host your first online summit, webinar, or virtual event, you’re in the right place. Grab your favorite drink and a snack, and dive into this practical guide! Trust me, you’ll want to save these tips for later.

1. Start With God

Before anything else, commit your event to God. Pray for His grace, favor, direction, and wisdom. Trust Him to deliver while you put in the work. For me, this is the cornerstone of every success. Don’t just plan with your strength; lean on faith as well.

2. Choose the Right Platforms

The platforms you use can make or break your virtual summit. Here’s what worked for us:

  • Lu.ma for Event Registration: Lu.ma is an incredible free tool that simplifies event registration. It’s user-friendly, customizable, and integrates seamlessly with your email or calendar to send automatic reminders. Using this tool made it easy for us to keep track of attendees and streamline communication.
  • Telegram for Virtual Summits: We used Telegram for most of the summit sessions. It’s a great platform for group chats and allows you to record live discussions, which is perfect for creating replays. The ability to chat within the group during sessions encouraged engagement and connection among attendees.
  • Google Meet for Flexibility: On the last day, we faced a technical issue with Telegram and had to quickly switch to Google Meet. It’s always good to have a backup plan and be familiar with alternative platforms. Google Meet offered a smooth transition and saved the day!

Pro Tip: Test your platforms before the event. Familiarize yourself with their features to avoid last-minute surprises.

3. Build a Strong Team

Behind every successful event is a great team. Surround yourself with dedicated individuals who understand your vision. Clearly assign roles, communicate expectations, and ensure everyone knows their responsibilities. A solid team will keep everything running smoothly, even when challenges arise.

4. Plan Strategically

Good planning is the backbone of a successful summit. Break the event into smaller tasks and set clear timelines. From securing speakers to promoting the event and ensuring tech readiness, every detail matters. Having a roadmap will keep you organized and on track.

5. Research and Select Thought Leaders

Your speakers set the tone for your event, so choose wisely. Research industry experts whose expertise aligns with your theme and audience. Craft a personalized pitch that explains the mutual benefits of their participation. Highlight how their involvement will add value to the conversation.

6. Address Compensation Creatively

If you can afford to compensate speakers, that’s fantastic. However, if you’re working with a tight budget, don’t be afraid to get creative. Offer value in other ways — like promoting their brand, sharing their work with your audience, or creating networking opportunities. Many speakers are willing to engage if they see mutual benefits.

7. Be Resilient When Rejections Come

Not everyone will say yes to your invitation, and that’s okay. Rejections are part of the process. Stay persistent, refine your outreach, and focus on those who believe in your vision.

8. Use Social Media and Cold Outreach

LinkedIn and Instagram are powerful tools for reaching potential speakers and participants. Send personalized messages, emails, or DMs. Be clear, concise, and professional in your communication. Follow up politely if needed.

9. Gratitude and Brand Promotion Matter

Celebrate your speakers and attendees! Promote their brands on your platforms and acknowledge their contributions during and after the event. Gratitude strengthens relationships and encourages long-term collaboration.

10. Stay Flexible and Adapt Quickly

Unforeseen challenges are part of any live event. During our summit, Telegram experienced issues on the last day, forcing us to switch to Google Meet. Because we stayed calm and adaptable, the transition was seamless. Always have a backup plan and be prepared to think on your feet.

11. Facilitate with Confidence

Facilitating an event in front of industry professionals can be daunting, but here’s what worked for me:

  • Harness Your Strengths: Know what you’re good at and use it. For me, multitasking — taking notes, moderating, and responding to chats — came naturally.
  • Stay Composed: Your calm demeanor sets the tone for the event. Even when things don’t go as planned, staying composed reassures your audience.
  • Be Engaging: Interact with attendees through Q&A sessions or polls to keep them engaged.
  • Think on Your Feet: Be ready to adjust your approach when unexpected situations arise.
